Using Registration and Payment Reports

The event registration system allows you to view real-time reports on attendance, donations, registrations, etc. In this guide, we are going to understand each type of report in detail. Read on to find details about the following report types:

  • By-Question Reports
  • Lodging Reports
  • Payment Reports by Specific Form
  • Shared Reports by Specific Form
  • Payment Reports Across All Forms

FINDING THE REPORTING OPTIONS FOR A SPECIFIC FORM

  1. On the top black menu bar, select Reg and click Forms from the drop-down menu.
  2. A list of all your forms displays. Select your preferred form.
  3. Click Reports on the top menu bar. A drop-down list of reports displays. The functionality of these reports will be explained later in this guide.
  4. Additionally, to create a Shared Report, select the Download/Share button to the right of the search bar. A drop-down menu displays options that include both Create Shared Report and Your Shared Reports, where you can access past reports created for this reg form.


BY-QUESTION REPORTS

After following the navigational instructions above, you will encounter options for By-Question Reports. The options and functionality are as follows:

  • Items Summary: For fields that ask registrants to choose from a pre-defined list of options, this report shows the breakdown of selections made so far by option. For example, if your form asks registrants to choose between two event dates that have 20 seats available per date, this report will show how many registrants have selected each date option and how many seats are still available per date.
  • Details: For fields that ask registrants to choose from a pre-defined list of options, this report shows who has selected each available option. Continuing with the example above, this report would list who is registered for each event date, grouped by the date options available.
  • Donations: If the reg form is set up as a Donation/Fundraising form type, this report will show a list of people who have made donations.
  • Lodging Summary: Shows you the breakdown of the rooms and room parts sold.  
  • Lodging Details: Shows you the names of the registrants per lodging.    
  • Payments Type totals: Shows you the totals by type: Check, Cash, PayPal, etc.    

All reports can be filtered by date range, optionally hide/reveal auto-generated charts, exported as an Excel workbook file and printed.


LODGING REPORTS

After following the navigational instructions above, you will encounter options for Lodging Reports. The options and functionality are as follows for reg forms utilizing lodging fields:

  • Lodging Summary: Shows you the breakdown of the rooms and room parts sold.
  • Lodging Details: Shows you the names of the registrants per lodging.

All reports can be filtered by date range, optionally hide/reveal auto-generated charts, exported as an Excel workbook file and printed.


PAYMENT REPORTS BY A SPECIFIC FORM

After following the navigational instructions above, you will encounter options for Payment Reports. The options and functionality are as follows for reg forms set up to accept payments:

  • Payments Type Totals: Shows you the totals by type: Check, Cash, PayPal, Stripe, etc.
  • Payment Details: Shows the details of every payment made related to this form. For payments made through an online payment account, such as PayPal and Stripe, the payment amount, related online processor fee, net payment and transaction ID display. The registrant's contact information displays in-line with the payment information.
  • Payment Item Details: Shows the details of each payment by registrant and grouped by For Sale option. For payments made through an online payment account, such as PayPal and Stripe, the payment amount, related online processor fee and net payment display. The registrant's contact name displays in-line with the payment information.

All reports can be filtered by date range, optionally hide/reveal auto-generated charts, exported as an Excel workbook file and printed.


SHARED REPORTS BY SPECIFIC FORM

After following the navigational instructions above, you will encounter options for Creating a Shared Report. This feature is especially handy for sharing real-time reports and sharing reports with individuals who aren't Brick River users. Do the following to create a new shared report:

  1. Select Created Shared Report. A pop-up box displays. You will need to make a few selections:
    1. Share Name: Indicate what your shared report will be called. Since the report updates in real-time as individuals fill out the reg form, adding a date isn't necessary.
    2. Display Options: Select if you would like a paged report (preferable for printing) or would like to hide ID columns. Unless you've added IDs to reg form field options in your reg build, you most likely will want to hide IDs for ease of viewing.
    3. Select Columns: Check the box next to all the reg fields you want displayed on the report. Near the top of the list the "Uncheck all boxes" and "Check all boxes" might be handy in this endeavor.
  2. Once you've made your selections, click the blue Share button in the lower right side of the pop-up box.
  3. A new tab pops open and displays your report.
  4. To share your report, use the link listed under the Share Report Link heading. This link is forward-facing, meaning those utilizing it don't have to be a Brick River user or be logged into Brick River to view the report.
  5. At the Shared Report Link, users can download the report as a CSV file or print it.

To manage the shared reports created for a specific form, navigate to the Download/Share menu as described at the start of this guide. Select the Your Shared Reports option to view a list of already created reports and their respective links, edit the report's options, and delete a report.


PAYMENTS REPORTS ACROSS ALL FORMS

To access Payment Reports that pull data across all reg forms: On the top black menu bar, select Reg. A drop-down menu displays. Under a sub-header titled Payment Reports, three options are listed. The options and functionality are as follows:

  • All Payments - Sorted By Date: Shows all the payments for all the forms sorted by date in descending order. Each payment includes the form name and an internal ID, if indicated when the reg form was built. The registrant's contact information displays in-line with the payment information. For payments made through an online payment account, such as PayPal and Stripe, the payment amount, related online processor fee, net payment and transaction ID display.
  • All Payments - Sorted By Type: Shows all the payments for all the forms sorted by payment type. This report is very general and top-line.
  • Stripe Payouts: Shows payments made through a connected Stripe account by an identified date range. Payments are sorted by deposit date and then by reg form. The entry for each form includes information about payment amounts, related fees, net payment and internal IDs. Each date-specific summary includes a deposit summary and ID so that it can be tracked in Stripe, if necessary. Learn more about the Stripe Payouts report in the video below.
